A new login saved on your laptop doesn't show up on your phone, or an old entry is missing from one device. Most sync failures come down to a few causes: a signed-out session, a connection or date problem, an app that needs updating, or a plan or account setting. Before you reinstall or reset anything, work out which device holds the most complete data. That one check keeps a simple sync problem from turning into lost passwords. Step 1: Protect your data before troubleshooting
Many password managers keep an encrypted local copy on each device, and the account's online vault is the copy they sync against. If a device has changes that never uploaded, logging out, uninstalling, or "resetting" it can delete those changes for good. So do this first:
- Don't uninstall the app or sign out yet on the device with the newest or missing-from-elsewhere entries.
- Open your manager's web vault (or its website after signing in) in a browser. Most major managers offer one. If the missing item is there, the cloud copy is fine and the problem is on the device that doesn't show it.
- If the item is on one device but not on the web vault, it never uploaded. Keep that device untouched and go to Step 2 on it.
- Consider an export as a safety copy from the device with the most data. Use an encrypted export if your manager offers one. A plain CSV export contains every password in readable text, so store it only temporarily on a trusted device and delete it securely when you're done.
Step 2: Force a manual sync and check the basics
Start with the lowest-risk fixes on the device that isn't updating:
- Run a manual sync. Most apps have a "Sync" or "Sync now" option in the settings, account, or vault menu (desktop apps may put it under a File menu). Pulling down to refresh on mobile also works in some apps. The wording varies by product, so check your manager's help pages if you can't find it.
- Confirm you're signed in to the same account on every device. Check the email address shown in the app. A second account, a personal versus work account, or a different region or server setting (for managers that offer one) will show a different vault.
- Check you're online. Switch between Wi-Fi and mobile data, and turn off any VPN, ad blocker, or DNS filter briefly. These can block the manager's servers. If sync works afterward, add an exception rather than leaving protection off.
- Check the date and time. A device clock that is badly wrong can cause secure connections and logins to fail. Set date and time to automatic.
- Update the app and the browser extension. Old versions can fail to sync after a service change. Restart the app after updating.
- Allow background activity on mobile. Battery-saver modes, restricted background data, or disabled notifications can delay syncing until you open the app.
Result to expect: after a manual sync with a working connection, the missing entry should appear within moments. If it does, you're done, so skip to the verification section. If you see an error message, note its exact wording and move on.
Step 3: Match the symptom to the likely cause
You're asked to log in again, or the vault says it's locked or logged out
This often follows a master password change, a security-triggered logout, or a deauthorized session. Sign in again with your current master password. If sync resumes, review recent account activity or the device list in your account settings, and remove any device you don't recognize.
Sync works on some devices but not others
Check whether your plan limits device types. Some managers' free tiers restrict use to certain device categories, and LastPass is a well-known example. If you recently downgraded or a trial or subscription expired, the app may switch to read-only or limited mode. Look at your plan in the account settings or billing page.
Only some items are missing
Items may be in a different vault, folder, shared collection, or organization (such as a family or work vault) that you no longer have access to or haven't enabled for that device. Check for vault filters in the app and use the search function across all vaults. If a shared item vanished, ask the vault owner whether access was removed.
Browser autofill is stale, but the app is up to date
The extension may be signed out or disconnected. Open the extension, make sure it's unlocked, and run its sync option. If that fails, update or re-enable the extension, then sign in again.
You use the built-in browser or platform manager
Syncing for Chrome, Edge, Firefox, or Apple's password features depends on each platform's own sign-in and sync settings:
- Chrome and Edge: make sure you're signed in to the same profile on each device, and that passwords are turned on in the sync settings (look under your profile or "Sync and Google services" in Chrome).
- Firefox: sign in to the same Firefox account and confirm "Logins and passwords" is selected in the Sync settings.
- Apple devices: every device must use the same Apple Account with iCloud syncing for Passwords (earlier versions call it Keychain) turned on in your Apple Account's iCloud settings.
Step 4: Recover missing or overwritten credentials
If a password is gone or an old one reappeared, check these before assuming it's lost:
- The trash or recently deleted section. Many managers keep deleted items for a limited period, often around 30 days, though this varies by product and plan.
- Item history. Some managers store previous passwords for each entry. Open the item and look for a history or "previous versions" option.
- Other devices that haven't synced. A device that has been offline may hold an item that never uploaded. Reconnect it, leave the app open, and sync. Then confirm the item appears in the web vault.
- Your own exports or backups. If you previously exported your vault, you can import a missing entry from it. Treat the file as sensitive.
- Your manager's support. If the vault was deleted or an account was recovered, only the provider can say what's recoverable. Many zero-knowledge managers cannot restore data they can't decrypt, so don't count on it.
Step 5: If sync still fails, refresh the problem device safely
Only do this when the web vault contains everything you need, or you have a verified export.
- Confirm the data you care about exists in the web vault or in your backup.
- Make sure you know your master password and have any two-factor authentication method and recovery information ready. Without them, you can be locked out after signing out.
- Sign out of the app, or remove and reinstall it.
- Sign in again and let the full vault download before changing anything.
- Re-enable extensions and autofill settings.
If signing in fails or the vault stays empty, contact the manager's official support with the app version, device type, and exact error message. Don't use search results or third-party "support" numbers.
How to confirm it's fixed
- Create a harmless test entry on one device, such as "Sync test".
- Run a manual sync on a second device and check that it appears. Then edit it and confirm the edit arrives.
- Check the same entry in the web vault.
- Delete the test entry afterward, and confirm autofill still works on your main apps and sites.
Preventing it from happening again
- Keep apps and extensions updated.
- Open the app occasionally on rarely used devices so they can catch up.
- Avoid making lots of edits while offline on several devices at once.
- Keep your recovery details current, and make a periodic encrypted backup if your manager supports it.
Next step: start with the web vault check, then do a manual sync on the lagging device. Most problems end there. If the data is only on one device, leave that device alone until it has uploaded, because it may hold the only up-to-date copy.
